Planning a wedding is one of the most exciting times of your life, but it can also be one of the most expensive. Without a clear plan, costs for flowers, apparel, and photography can quickly spiral out of control.
To help you stay on track, we’ve created a Free Wedding Budget Spreadsheet that does the heavy lifting for you. This professional-grade tool features automated calculations, visual expense tracking, and pre-filled categories to ensure no detail is overlooked.

Why Use a Dedicated Budget Spreadsheet?
Most couples find that a simple list isn’t enough. You need a system that compares your expectations with reality. This template provides:
- Real-Time Tracking: Instantly see the difference between your estimated budget and actual spending.
- Visual Insights: A built-in bar chart gives you a bird’s-eye view of your largest expenses.
- Comprehensive Categories: We’ve pre-loaded common wedding costs like “Bows for church pews” and “Musicians for ceremony” so you don’t have to start from scratch.
Step-by-Step User Guide
1. Enabling the Template (Macros)
Because this spreadsheet uses automation (VBA) to stay organized, you must enable macros when you first open the file.
- Open the
.xlsmfile. - Click “Enable Content” on the yellow security bar at the top of Excel.
2. Setting Your Estimates
Start by filling in the Estimated column for each category.
- Research first: Get quotes from local vendors to make these numbers as accurate as possible.
- Buffer room: It is a good practice to estimate 5–10% higher than you expect to pay for “Other Expenses.”
3. Tracking Actual Expenses
As you sign contracts and pay deposits, enter the amounts into the Actual column.
- The Over/Under column will automatically update with an icon to show your status.
- The Summary Table at the top will pull all these numbers together to show your total wedding investment.
4. Reviewing the Visual Summary
The bar chart in the top right corner is your best friend. It automatically updates based on your Actual spending. If the “Reception” or “Photography” bars are growing faster than expected, you can quickly adjust your spending in smaller categories like “Stationery” or “Gifts” to balance the books.
5. Customizing for Your Wedding
Every wedding is unique. If you aren’t having a band, simply leave the “Band/DJ” row as $0.00. The automated “Total” formulas will ignore empty rows, keeping your math perfect.
Pro-Tip: Keep this file in a cloud folder (like Google Drive or OneDrive) so you and your partner can update it on the go as you meet with vendors!
